This website is operated by viC, an independent artist based in the United Kingdom. viC is the data controller for any personal information collected through this site, meaning viC decides how and why your data is used.

When you fill in a contact or commission enquiry form on this website, we collect the following information:

  • Your name
  • Your email address
  • Commission preferences, including subject type, board size, board colour, turnaround requirements, delivery preferences, and similar details selected through the commission form
  • Reference photographs of your subject, sent via email following your form submission
  • Any additional information you choose to include in your message

We do not collect or store payment card details or bank account information. Payments made via PayPal are processed entirely by PayPal and governed by their own privacy policy. Bank transfers are processed directly between banks. We do not have access to your financial account details at any stage.

We do not knowingly collect personal data from anyone under the age of 13. If you are under 13, please do not submit any information through this website without parental consent. Under UK GDPR, children under 13 require parental or guardian consent before their personal data can be collected online.

3. Why we collect it and the legal basis

Your name and email address are collected solely to respond to your enquiry or commission request. We do not use your information for marketing, do not add you to any mailing list, and do not contact you for any purpose other than the enquiry you submitted.

The legal basis for processing your data is legitimate interests (Article 6(1)(f) of UK GDPR). You have actively chosen to contact us, and it is in both your and our interest for us to be able to respond.

4. How long we keep your data

We keep your contact information only for as long as is necessary to handle your enquiry and any related commission. Once your enquiry is resolved or a reasonable period has passed with no further contact, your information is deleted.

If a commission is agreed and completed, we may retain basic records (name, email, commission details) for up to two years for accounting and reference purposes, after which they are permanently deleted.

5. Who we share your data with

We do not sell, rent, or share your personal information with any third party for their own purposes.

If a commission goes ahead and payment is made via PayPal, your transaction will be processed by PayPal (Europe) S.à r.l. et Cie, S.C.A. PayPal’s own privacy policy governs how they handle your payment information — we do not have access to your payment or card details.

6. How we keep your data safe

Your enquiries are received and stored securely. We do not store personal information in unsecured locations and take reasonable precautions to protect anything you send us. This website uses HTTPS encryption to protect information in transit.
